Compliance Processes
It's compliance check season! The CSLE Professional Staff have begun checking all RSOs for their requirements to be in compliance for the 2026-2027 Academic Year. To be in compliance an RSO must:
Have an active President, Treasurer, Risk Manager, & Full-Time Faculty/Staff Advisor
Have an updated constitution containing a process to remove officers/members, the verbatim University Non-Discrimination Policy, & the verbatim University Anti-Hazing Policy
Have Advisor Approval for their Re-Registration
Have all required officers (President, Treasurer, & Risk Manager) complete all required training of their positions.
To better be able to check for these things, the CSLE has locked the Re-Registration Process and the RSO Officer Training Course until October 26th. Groups who did not have all required items of registration (the first three bullets listed above) have been temporarily frozen, as they are currently out of compliance. The Compliance Checks Timeline is:
October 5th: All Re-Registrations & RSO Canvas Requirements are locked to edits
October 6th - 26th: CSLE Professional Staff will be reviewing organization's compliance statuses. We will not be reveiwing any new submissions or edits at this time.
October 26th: Re-Registration Process & Canvas Course Re-Opens.
October 26th - October 30th: RSOs will receive compliance notifications. These notifications will include their current compliance status and any actions that need to be taken.
October 26th - November 15th: CSLE Professional Staff will host office hours to assist with compliance tasks.
November 15th: All Compliance Tasks are Due.
November 15th - November 22nd: Final Compliance Reviews. Organizations who are not in compliance at this time will be frozen for the academic year.
If your organization is Frozen (temporarily or for the academic year), you cannot act as an RSO on campus, which means your organization cannot reserve spaces, access funds, or host events. Groups that are frozen for the academic year will have a chance to re-register to become active again in the Spring semester for the 2027-2028 academic year. We will be working with organizations to help come into compliance but it is the responsibility of the members and officers of an RSO to complete all compliance tasks.

SGS Updates & Information Center Card DEADLINE EXTENDED: all Center Cards must be picked up by October 15, 2026.
The Center Card is the replacement for all P-Card and reimbursement purchases for all student groups. Effective October 16, 2026,reimbursements and P-Card purchasing will no longer be permitted. Please ensure your organization has the appropriate Center Card in place before the deadline.
IMPORTANT: If you have not yet received the appropriate User Agreement through DocuSign, please submit the "Center Card Requests - All" form to request either:
An Allocated Center Card, or
A Self-Generated Center Card
Center Card Reminder: Submit Expenses Within 2 Days
Please note that Center Cards are actively monitored, and cards may be frozen when required expense documentation is not submitted within the required timeframe. A frozen card cannot be used for any purchases and will directly impact your organization's ability to carry out upcoming events. Additionally, if a card is locked, organizations are not permitted to use alternative purchasing methods, including reimbursements, payment requests, journals, or other funding mechanisms. As a result, critical event expenses may be delayed, causing programs to be postponed, scaled back, or even canceled. Timely expense submission is essential to keeping your card active and ensuring your organization can continue programming without interruption.
To avoid disruptions, submit your expenses promptly (within 2 days) after each purchase and ensure all itemized receipts and required documentation are uploaded. Staying current with expense submissions helps keep your card active and your organization's programming on track. Accounting Book Updates
The Accounting Book feature is not currently updated. We are actively working on this enhancement and will send out a notification as soon as the updated feature is ready.
